General Terms and Conditions – Erasmus+ Courses Lipka

1. Course Confirmation & Travel Arrangements

Your place is confirmed only after completing the registration and receiving the invoice.
Please book flexible travel. If accommodation is not provided as part of the course, make sure to book flexible accommodation as well. Lipka will inform participants about any course cancellation no later than 30 days before the course start date. In case of cancellation by Lipka, the full course fee will be refunded.
We do not cover or refund any additional costs (e.g. travel, accommodation, meals, visa, insurance, etc.).

2. Invoicing & Payment

Invoices are sent by email to the contact person of the school/organisation after registration. The invoice will include the organisation’s billing address.
Invoices can be paid by the individual participant or by the sending organisation. Please ensure the invoice number is included in the payment reference.
We do not accept cash payments.

3. VAT

Course fees include VAT according to Czech legislation.
Participants from abroad are not eligible for VAT exemption under current Czech tax law.
A VAT number or national equivalent may be requested for invoicing purposes.

4. Substitution of Participants

If a registered participant is unable to attend, it is possible to substitute them with another person from the same organisation at no additional cost. Please inform us in writing as soon as possible.

5. Cancellation by the Participant

If you cancel your participation without substitution, the following cancellation charges apply:

• More than 60 days before the course: €100 administration fee

• 60–42 days before the course: 50% of the total course fee

• 41–21 days before the course: 75% of the total course fee

• Less than 21 days before the course or no-show: 100% of the total course fee

All cancellations must be submitted in writing via email.

In case of force majeure (e.g. serious illness, travel restrictions), we will assess each case individually. Participants may be offered the option to attend a future course, depending on availability.

6. Withdrawal During the Course

If a participant leaves the course early or misses substantial parts without a justified reason (e.g. health issues), no certificate will be issued, and the full course fee remains due.

7. Course Cancellation by the Organiser

Lipka reserves the right to cancel the course due to unforeseen circumstances (e.g. insufficient enrolment). In such a case, a full refund of the course fee will be provided.  We are not liable for any additional costs incurred by the participant.
